02What to include
What to include in a first email
None of this needs to be complete or polished. The more of it you can describe, the more concrete our first reply can be — and the fewer rounds of clarification it takes to reach a useful answer.
Please do not send credentials, production data or personal data of your customers in a first message. If access is needed later, we agree a secure method for it.
- What the system does
- A plain description of the process or product involved, and who uses it.
- Current state
- Whether this is a new system, an existing one being changed, or an integration between systems that already run.
- The problem
- What is not working now — cost, reliability, speed of change, data quality or a specific blocking limitation.
- Technical context
- Languages, frameworks, databases, hosting and any third-party services involved, as far as you know them.
- Constraints
- Deadlines, budget boundaries, regulatory requirements, and technology you must keep or must avoid.
- Decision process
- Who decides, and what they need in order to decide. This determines what our reply should contain.
03Correspondence
How correspondence is handled
Enquiries are read by an engineer. If your description makes the problem clear enough, the reply will contain an initial technical view rather than a request for a meeting.
If we are not the right fit — because the work sits outside our practice or because what you need is an off-the-shelf product rather than engineering — we will say that directly.
